Privacy Policy
1. Who we are, and our role
Studio Zero Estimating is provided by 1548705 B.C. Ltd., operating as Studio Zero, 351 Copper Drive, Britannia Beach, BC V8B 1C5, Canada ("we", "us"). This policy covers the program, our website and the online service behind them, for people in the United States and in every Canadian province and territory.
- Your business's content (projects, drawings, markups, estimates) is your business's. We process the personal information in it on your business's behalf and on its instructions, as its service provider (also called a processor).
- Our own records (your account, billing contact, sign-in and security records, messages you send us) are ours, and we are responsible for them.
2. What we collect
| What | Examples | Where it comes from |
|---|---|---|
| Account | Name, email address, business name, role, and a password stored only in protected (hashed) form | You, or the person who added you |
| Your work | Project numbers and names, uploaded drawings and documents, take-off measurements and markups, estimates, unit prices, notes | You and your team |
| Billing | Billing contact, invoices, the plan and number of users. Card details are taken and held by our payment processor, Stripe, never by us | You, and Stripe |
| Sign-in and security | Sign-in times, the type of computer and browser, failed sign-ins, and your IP address (used briefly to limit repeated sign-in attempts) | Your computer, when you use the service |
| Messages | Emails you send us and our replies, including requests made through our privacy request form | You |
Drawings can contain other people's personal information, such as an owner's name or a site address. That is part of your business's content (section 1). We do not collect sensitive information on purpose, and you should not upload health, financial-account or government identification information about anyone.
3. Why we use it
- To provide the program and the service: sign-in, saving and opening your work, and support.
- To bill you, and to keep the records tax and accounting law requires.
- To keep the service secure and working: detecting misuse, fixing faults, and keeping each business's data separate.
- To send service messages you need, such as a sign-in invitation, a receipt, or the reminder 7 days before each yearly renewal.
- To send news about Studio Zero only if you agreed (in Canada, as Canada's anti-spam law requires) or, in the United States, until you opt out. Every such email has an unsubscribe link, honoured within 10 business days.
4. What we do not do
- We do not sell personal information, and we do not share it for cross-context behavioural or targeted advertising.
- The program has no advertising, no analytics trackers and no tracking cookies. It keeps your sign-in on your computer so you stay signed in.
- We do not use your content to train artificial-intelligence models, and Studio Zero Estimating has no artificial-intelligence features.
- We do not make decisions about people by automated means.
5. Where it is kept, and who helps us
- Your information is kept by Cloudflare, on servers currently in the United States, encrypted while it travels and while it is stored. Each business's data is kept in its own database, separate from every other business's.
- If you are in Canada, your information is therefore stored and processed in the United States, where it may be accessible to US courts, law enforcement and national security authorities under US law.
- The companies that help us process personal information:
We tell business customers before we add another one.Company What it does Where Cloudflare Hosting, storage and backups United States Stripe Payments United States and Canada Microsoft Sends our emails (invitations, receipts, reminders) from info@studio-zero.ca Canada and United States - Quebec. Before personal information leaves Quebec, a Quebec business carries out the privacy impact assessment required by section 17 of Quebec's Act respecting the protection of personal information in the private sector (as amended by Law 25), and we give it the information it needs to do so.
- Our website loads its fonts from Google Fonts, which receives your IP address when the page loads.
6. Who can see your work
Only the people your business adds can sign in to its projects. Studio Zero staff look at a business's content only to provide support it asks for, to fix a fault, to keep the service secure, or where the law requires it, and every such access is logged.
7. How long we keep it
- Your business's content is kept for as long as its subscription is active.
- When a subscription ends, we keep the data for 30 days so it can be taken out, then delete it permanently, including from our nightly backups as they expire (they are kept 30 days).
- If you ask us to delete your own account information, we do it within 30 days, except what the law requires us to keep. If your business added you, we work with it to do this.
- Billing records are kept as long as tax and accounting law requires. Security records are kept for a limited period.
8. Your rights
Wherever you live, you can ask to see the personal information we hold about you, to correct it, to delete it, to receive a copy, or to withdraw a consent you gave. You will not be treated worse for using a right.
- Canada. You have rights of access and correction under the Personal Information Protection and Electronic Documents Act (PIPEDA) and, in British Columbia, Alberta and Quebec, under those provinces' private-sector privacy laws. In Quebec you may also ask for your information in a structured, commonly used technological format.
- United States. Depending on your state (for example California, Colorado, Connecticut, Virginia, Texas and the other states with comprehensive privacy laws), you may have the right to know, access, correct and delete your personal information, to get a portable copy, and to opt out of its sale, targeted advertising and profiling. We do none of those three. California residents may also limit the use of sensitive personal information; we do not use it for any purpose that right covers.
- How to ask. Use our privacy request form, which gives you a reference number, or email info@studio-zero.ca with the subject "Privacy request". We confirm who you are before we act, answer within 30 days (or sooner where the law requires), and tell you if we need longer and why. You may use an authorised agent where your state allows it.
- If we say no. We tell you why. You may appeal by replying with the subject "Privacy appeal"; we answer the appeal within the time your state's law sets. If you are not satisfied, you may complain to your privacy regulator: in Canada, the Office of the Privacy Commissioner of Canada, or your province's commissioner in British Columbia, Alberta or Quebec (the Commission d'accès à l'information); in the United States, your state's attorney general or privacy agency.
- If the information is part of a business's content (section 1), send the request to that business. We help it answer.
9. Security, and if something goes wrong
We encrypt data, keep each business's data separate, log staff access, back up nightly and test changes before they reach you. If personal information is accessed without permission, we tell the affected business without undue delay and within 72 hours, help it meet its own notice duties, report to regulators and notify people where the law requires it, and keep a record of every incident. In Quebec, an incident that presents a risk of serious injury is reported promptly to the Commission d'accès à l'information and to the people concerned. Please report security problems to info@studio-zero.ca.
10. Children
Studio Zero Estimating is for businesses and working professionals. It is not meant for anyone under 18, and we do not knowingly collect personal information from children.
11. Changes to this policy
If we change this policy in a way that matters, we tell account owners by email at least 30 days before the change takes effect, and we update the date at the top.
